Is your CRM ready for AI agents? 7 things to check first
This autumn HubSpot launched more AI agents than ever before. Prospecting Agent, Customer Agent, Nurture Agent and a Breeze Assistant that now takes action directly in your portal. It's tempting to switch everything on at once. But one question decides whether the agents become an asset or a source of embarrassing mistakes: what does your data look like?
An AI agent does exactly what you ask, with the information it has. If that information is wrong, outdated or contradictory, the results will be too. Only now at scale, and faster than any person could manage.
Why bad data hits harder with AI
When a sales rep sees a contact with the wrong job title or a company that's been created three times, they shrug and move on. An agent doesn't. It sends a personalised email to someone who left two years ago, prioritises a duplicate or counts a customer who has already cancelled.
That's why HubSpot is putting so much weight on context right now. Agents are never better than what they have to work with. Generic or messy data gives generic or wrong results.
Checklist: seven things to review before you let the agents in
1. How much of your database is alive?
Start with an honest number. How many contacts and companies have had any activity in the last two years? It's not unusual for only a small share of the database to actually be alive. The rest is history that skews your reports and costs money in marketing contacts.
2. Duplicates
Duplicate companies and contacts are an agent's worst enemy. Use HubSpot's duplicate management and decide which property is the unique key, for example domain for companies and email for contacts.
3. Bounced and inactive emails
Contacts with bounced emails or no engagement for a long time should be set to non-marketing. That protects your sender reputation, lowers your licence cost and makes sure agents like Nurture Agent work with the right people.
4. Lifecycle stages with a clear definition
What does Lead mean in your company? What does it take to become a Customer? If the answer depends on who you ask, the agents won't know either. Write down one rule and let it drive your automation.
5. Empty key fields
Pick the fields that really matter, such as industry, company size, country, owner and lifecycle stage. Measure how many are empty and fill the gaps, manually or with enrichment.
6. Old workflows and properties
Portals that have been around for a while collect workflows nobody uses and properties nobody understands. Every one of those leftovers is a potential source of error for an agent trying to interpret your data. Switch off, archive and document.
7. Fill Context Home
Once the basic data is in place, it's time for business context. In Context Home you add your ICP, your products, your tone of voice and your brand. That's the information every agent in HubSpot draws from.
Build data quality in, don't just clean once
A one-off clean-up lasts a few months. What lasts is the architecture: required fields in forms and deal stages, clear rules for who owns what, and a dashboard that tracks data quality continuously. That way you see right away when things start to slip.
A simple test before you activate an agent: would you let a new sales hire work on their own with the same data? If the answer is no, it's not ready for an agent either.
